FleetCustody records the information needed to answer where a shared vehicle was recorded, who used it, and how much it was used.
Information we collect
We may process administrator account details, employee information entered during a handoff, vehicle and transaction records, mileage, selected locations, issue descriptions and photos, and service diagnostics.
When permission is granted, a checkout or return may include a one-time precise location stamp from the employee's phone.
How we use information
We use the information to operate the custody workflow, show current fleet status, maintain history, calculate trip mileage, support issue reporting, secure the service, and provide customer support.
Phone location
FleetCustody requests phone location only when a checkout or return is submitted. The current product does not continuously track vehicles or collect background location.
If permission is unavailable, the record can still use the selected yard, facility, jobsite, or Other Location and will show that a GPS stamp was not captured.
Service providers
We may use service providers for application hosting, databases, authentication, file storage, error monitoring, email, and app distribution. They process information only to provide those services to FleetCustody and its customers.
Retention and security
Customer records are retained according to the customer's service agreement, operational needs, and legal obligations. We use access controls, encryption in transit, and administrative safeguards, but no system can guarantee absolute security.
Customer responsibilities
FleetCustody is a workplace tool. Each customer controls its workforce use, notices, permissions, records, and policies. Customers should collect only information they are authorized to process.
Your choices
Administrators may contact us to request access, correction, export, or deletion subject to the customer's instructions and applicable law. Employees should also contact their employer about records managed by that employer.
